Before you start
- You need to be an admin (a person with the Manage Server permission) or a member appointed as matchmaker. Admins manage every match; a matchmaker manages only the matches they created (Who can press what · Appointing and revoking matchmakers). Admins and any matchmaker of the server can set up a recurring schedule.
- The bot must have in-house matches turned on. How to take a match through its stages is in Run a match, step by step.
- The Allow bot DM notifications switch in the server settings must be on for poll DMs and invite DMs to go out. It is off by default (A server admin's first 5 minutes). A member who turned off Reminders & nudges does not get the poll DMs or the reminder before the start.
- This page is about settling the time. How to create a match and build its teams is in Team balance, lanes and positions.
Settle the time with a poll
If you did not set a time when you created the match, or you do not know what suits everyone, ask the members. Put up several candidate times, let each member mark theirs, then confirm the time that overlaps most. The confirmed time becomes the match's scheduled time. Setting a time right at creation is covered in Team balance, lanes and positions.
On the match screen, press Open a time poll
It sits in the Matchmaker controls box and shows only while the match is Recruiting or Roster pending. A match can have only one time poll. If one is already open, the Overlapping times box shows instead of this button.
Pick the candidate times
Use the calendar under Pick a date and time from the calendar to pick a date and a time. Each pick adds a chip to the Candidate times row. You need at least one candidate and can add up to 60. By default, times are entered in your browser's timezone.
Set a deadline and press Open poll
The Voting deadline box is optional. With a deadline, nobody can vote after that time. A time already in the past is refused. With at least one candidate, Open poll turns on. Pressing it sends a DM with the voting link to every invited member except people who were swapped out.
If the match screen shows the Overlapping times box with Time poll in progress, the poll is open.
How members answer
Members open the voting screen from the link in the DM, or from the An availability poll is open banner on their own match page. Anyone invited to this match can vote, except people who were swapped out for a sub.
- The screen is titled Availability poll. On the Paint: row they pick one of Yes, Maybe, No and paint cells of the grid. A cell left unpainted is an unanswered cell.
- Every paint saves by itself. The Saved automatically mark shows up and there is no save button to press. A progress line says how many slots they have marked.
- The grid follows each person's browser timezone. The timezone name in use appears at the top of the screen.
- Someone who answered Declined can vote too, so a person who dropped out over the time can still join on another candidate.
- Once the poll is closed or confirmed, a Closed mark appears and nothing can be painted. They only see the answers they gave.
Read the tally and confirm the time
Read the tally
In the Overlapping times grid, each candidate shows the number of people who answered Yes, and the cell gets darker as the number grows. Hover a cell to see the names of the people who answered Yes, Maybe and No. People who voted appear as avatars in the Voted row, and the count of people who have not voted is shown beside it. The cell of the best time gets a ★, and the box under the grid shows that time and its Yes count.
★ Best slot is the time with the most Yes. A tie goes to the time with more Yes plus Maybe, and a further tie to the earlier time. A time with no Yes or Maybe at all is never picked as the best slot.
If some members have not voted, Remind non-voters sends a DM to just those people. A poll allows one such reminder per 1 hour, and the button shows only while voting is open.
Press Confirm this time
At first Best slot is selected. To use another time, press its cell in the grid (that is what “Tap a cell to pick another time” is for). When you are happy, press Confirm this time. If nobody has answered Yes or Maybe yet, there is no best slot and no confirm button either. Wait for answers to come in.
The time becomes the match's scheduled time and the poll gets a Confirmed mark. A poll that is already confirmed cannot be confirmed again.
Close the voting early if you need to
Close voting closes the voting without confirming. You can still confirm a time afterwards. If you set a deadline, members cannot paint any more the moment it passes, and a check that runs every 10 minutes then marks the poll closed. If the match is still in Recruiting or Roster pending at that point, the person who opened the poll gets a DM.
Members see the new scheduled time on their own match page. While the match is recruiting, members who still have not answered get the reminder before the start (see “What a scheduled time does” below).
Voting and confirming work only in the Recruiting and Roster pending stages. Once Lock lineup puts the match in Lineup locked, members can no longer paint and the time can no longer be confirmed. Settle the time first, then move on.
If the Overlapping times box shows the Confirmed mark and “The match is scheduled for this time.”, the time is set.
What a scheduled time does
- Invite expiry: an invite expires 1 hour after the scheduled time and its answer buttons stop working. With no time it never expires. What members see is in Reply to a match invite.
- Reminder: once the start is within 60 minutes, members who have not answered get one DM. This is only for matches in Recruiting, and nothing goes out when there is no time (Run a match, step by step).
- Stale nudge: if a match is still in Recruiting, Roster pending or Lineup locked 48 hours after the later of entering the stage and the scheduled time, the person who created it gets a nudge DM. With no scheduled time it comes 7 days after entering the stage (Run a match, step by step).
- For a match created without a time, invite expiry and the reminder start working the moment you confirm a poll. Until then it has no time, and therefore no expiry and no reminder.
- There is no screen to edit the scheduled time after creating the match. If the match never had a time poll, you can change the time by opening a poll and confirming one. A match has only one time poll, so a match that already had one cannot open another. Before you confirm, you can still confirm another candidate of that poll; once it is confirmed the time cannot be changed, so cancel the match with Cancel and create a new one.
Repeat every week with a recurring schedule
This feature creates a match automatically on the same weekday and time and DMs the roster an invite. What repeats is creating the match and sending the invite. No teams are made; you build them later from who answered.
1234
On Matches, press Recurring
Pick the timezone, day and time
In the Timezone box, choose from Seoul, Tokyo, Taipei, New York, Los Angeles, Paris. Day and Time are local time in that zone. Cities with daylight saving follow the season.
Pick the invite roster and add a name and notes
In the Invite roster box, pick at least 2 members to invite every time. Typing in the search box above filters the list. Match name and Notes (optional) may stay empty. If you fill them in, every match created from this schedule gets them, and the notes also show on the participant's match page.
Press Add schedule
The button turns on once at least 2 members are picked. Pressing it adds a row to the Schedules box below. The row shows day, time and timezone, the roster size and the Next run time, which is written in UTC.
If the Schedules box shows a row with the day and time you picked and a Next run time, it is registered.
- The bot checks for due schedules every 10 minutes. The match is created soon after the set time, up to about 10 minutes late.
- What gets created is a match in Recruiting with the roster invited. It has no teams, and the name and notes are copied from the schedule. Its scheduled time is the schedule's time. The invite DM goes out right away. How members answer is in Reply to a match invite.
- The scheduled time is the same moment the invite goes out, so no reminder before the start is sent. The invite expires 1 hour after the scheduled time.
- If the bot was down and comes back more than 2 hours after the set time, that round is skipped and the schedule moves on to next week.
- A member who has left the server by then is left out of that round's invites.
- If the server requires a linked Riot account, picking a member who has not linked one stops the schedule from being saved. On an already registered schedule, only the unlinked members are left out of that round and they get the link-your-account DM (once per member). If nobody on the roster is linked, that round is skipped. How to link is in Link and re-verify your Riot account.
- A created match is like any other. How to move it through its stages is in Run a match, step by step, and how to split the people who answered into teams is in Team balance, lanes and positions.
Pause or delete a schedule
Pause and resume with the on/off button
It is the button at the right end of a registered row: ⏸ while the schedule is on and ▶ while it is off. Hover to see “On/off”. A schedule that is off creates no matches.
Press Delete to remove it
A confirm window appears once. Matches that were already created stay as they are.
To change one, delete it and register again
There is no screen to edit a registered schedule. To change the day, time, timezone or roster, delete it and register a new one.
- Any matchmaker of the same server can pause or delete a schedule, whoever registered it. Who did it is kept in the audit log.
- When you turn a paused schedule back on, a round it missed while paused is created right away if it is within 2 hours of its set time. An older one is skipped and the schedule carries on from the next round.
Put it in a calendar
A match with a scheduled time can be added to a member's own calendar app. The server's whole schedule is on one calendar on the server home.
On the match page, press Add to calendar
It is at the top of the match page for members summoned to that match. It shows only while the match is Recruiting, Roster pending or Lineup locked and its scheduled time has not come yet. With no time, or a time already past, there is no button.
Open the downloaded file in your calendar app
A .ics file downloads. Its name is kletoi-match- followed by the match number. Opening it in a calendar app adds one event.
- The title looks like “Kletoi match #12”. If the match has a name, the name replaces the number.
- The start is the match's scheduled time and the length is set to 90 minutes. The end time is not stored anywhere, so this is a fixed default length. Times are stored in UTC, so each calendar app shows them in local time.
- The description holds the address of that match page.
- The file holds the scheduled time as of the moment you downloaded it. If the time changes later, an event you already added does not change by itself, so download it again. The same match always goes out with the same identifier, so a calendar app can merge copies downloaded by a matchmaker and a member.
On the console match screen, the arrow button beside Add to calendar (Choose calendar) lets you pick Download .ics, Google Calendar, Apple Calendar, Outlook. Google and Outlook open a web page with the event pre-filled; the others download the same .ics file. With no time the button is off, and hovering it shows “Available once the time is set”.
See everything on the server home calendar
Every match with a scheduled time, past ones included, puts a dot on its date in the calendar in the Match schedule box. Pressing a date lists that day's matches in time order, each with a stage badge and the number joined out of the number summoned. Pressing a row opens that match page. Any member of the server can see it.
If opening the downloaded .ics file puts one match event in your calendar and its start matches the scheduled time on the match page, you are done.
Where to go next
How to set a time and teams while creating a match is in Team balance, lanes and positions, and how to move a created match through its stages is in Run a match, step by step. The article to share with members is Reply to a match invite. If a round turns out short of players, see When you are short of players. If the web screens are new to you, start with A tour of the web console and logging in.
Check it worked
If you opened and confirmed a time poll on one match (the Confirmed mark), there is one recurring schedule row in the Schedules box, and a member's match page shows Add to calendar, you have finished this page.
