Before you start
This page is for admins of a server that already subscribes to Premium. It shows where the buttons in the Manage subscription panel are and what each one does. Conditions for cancellation, renewal and refunds are not repeated here; they are in Terms of Service and Refund & Cancellation. The amount charged when this subscription renews is shown in the plan line at the top of the Manage subscription panel. If you do not see an amount there, ask at the contact on Refund & Cancellation. Current prices are on the Plans page.
Every button on this page is on the web console's Premium screen, which opens only with Manage Server. If you paid without Manage Server, you can cancel yourself under Payments and subscriptions on your home page; ask about refunds at the contact in Refund & Cancellation §7.
Where to find subscription management
Open the Premium screen in the web console
Press Premium in the left menu. Only people with Manage Server can open this screen. Logging in and a tour are in A tour of the web console and logging in. How to arrive from the pricing page is in How to start Premium.
Find the subscription management panel
On a subscribed server, the Manage subscription panel sits below the Current plan card. The badge at the right end of the panel's title row shows the current state. The Payment history panel is always there, whatever the subscription state.
- The server has no subscription. How to start one is in How to start Premium.
- Premium was applied by the operator without a payment. Then the Premium granted by the operator panel shows instead of Manage subscription.
- The subscription has ended. If it ended recently, the top of the Start a subscription panel may show a Recently ended line, with the reason in one sentence below it.
- If none of these three fits, the subscription may be one that has no such panel, or its usage period may have just ended. If a refresh does not change it, ask at the contact on Refund & Cancellation.
You found the Manage subscription panel on the console's Premium screen. If it is missing, you know which case above applies.
What each button does
Which buttons you see depends on the subscription state. A button that is not on the screen cannot be used right now. Which buttons appear in each state is in Read the state from the badge.
Schedule a cancellation for the period end
Press the Cancel at period end button and you see Cancellation scheduled. The panel badge changes to Cancellation scheduled, and the status line shows Current period ends with a date. What happens after that date is in Terms of Service §5 and Refund & Cancellation §6.
The Cancel at period end button does not refund anything. Whether you can end now with a refund, and until when, is on the refund notice line just above the buttons. If that line is there, read it before you press. How cancellation and refunds relate is in Refund & Cancellation §6.
If the badge says Checking and the status line says Renewal payment in progress, wait for the result before you press the Cancel at period end button. If you press it before then, it may not work like a scheduled cancellation: the subscription may end right away, or a renewal payment that is already in progress may still go through.
Keep your subscription
On a subscription with a scheduled cancellation, the Keep subscription button appears where the Cancel at period end button was. Press it and you see Cancellation withdrawn and the Cancellation scheduled badge goes away. Automatic renewal continues, so check the date in the status line. The renewal conditions are in Terms of Service §5. If the bot is not in that server, this button is hidden. How to invite the bot again is in The bot is not in that server.
End now and refund
The End now and refund button is not always there. It appears only when Kletoi has checked the payment and made it available. If you do not see it, you cannot use it right now. The refund conditions and the contact address are in Refund & Cancellation.
Pressing the button does not run anything yet. The panel switches to a confirmation step with “Please check the amount before you run it. Every value here is calculated by the server.” under the heading. Read the cautions in that step before you press the last button.
Nothing changes until you press the last button, End and refund …. Press Back to return to the Manage subscription panel. The Refund Policy §2 or Refund Policy §4 link just above the buttons leads to the Refund & Cancellation page.
If you press the last button, the subscription ends now. This is different from a scheduled cancellation, which waits for the usage period to end. The details are in Refund & Cancellation §6.
- Subscription ended and refund requested: the subscription has ended and the refund was requested.
- Subscription ended · checking the refund result: the refund result is being checked. It shows as Refund in progress in the Payment history panel.
- The subscription has ended, but our team will handle the refund separately: the subscription has ended and our team handles the refund separately. The notice gives a contact email.
- A notice that starts with Not run — …: nothing was changed. Read the reason and do what the notice says.
Some subscriptions show a contact-email notice line instead of the button. Then write to the email given in that line. The contact details are also in Refund & Cancellation §7.
Change the card
Press the Change card button and the card registration window of Toss Payments opens. When you register a new card, you see New card registered. It says “Nothing was charged now; your next payment, if any, will use the new card.” The subscription state, the usage period and any scheduled cancellation stay as they were.
If you close the window you see Card change canceled, and the card is not changed. If the card number or details do not match, or the card issuer declines, you see notices such as The card number doesn't match, The card details don't match or Your card issuer declined the card. These notices say you were not charged.
This button shows only on a subscription whose card can be changed right now.
When a renewal payment fails
When a renewal payment fails, the Manage subscription panel badge shows Payment failed — retrying or The renewal payment failed. The panel has the Change card button (only when a card can be accepted) and the Cancel now button. The text under the status line says what you can do now. The Start a subscription panel may also show lower on the same screen. The buttons for the failed renewal are in the Manage subscription panel above it.
The Cancel now button is not a scheduled cancellation. Press it and the subscription ends right away. The details are in Refund & Cancellation §6.
Check the Current plan card to see whether the server is on Premium right now. A failure notice also shows at the top of the other console screens. Press the Check the Premium tab button in it to come to the Premium screen.
Open a receipt
Press the receipt icon (View receipt) in the last column of the Payment history table. The Toss Payments receipt opens. The icon shows on a row only when the person who made that payment is viewing the screen. The top right of the Payment history panel also says “Receipts are shown only to the person who paid”.
If the receipt does not open you see We couldn't open the receipt. Press the icon again in a moment, as the notice says: “Please try again in a moment.”
You can say what each of the Cancel at period end, Keep subscription, End now and refund, Change card and Cancel now buttons in the Manage subscription panel does.
Read the state from the badge
Match the badge at the right end of the Manage subscription panel's title row with the buttons you see.
- Subscribed: the status line shows Next billing date or Current period ends with a date. The button is Cancel at period end; Change card is there when the card can be changed, and End now and refund when the refund can be run from the console.
- Checking: a renewal payment is being processed, and the status line says Renewal payment in progress. The button is Cancel at period end; Change card is there when the card can be changed, and End now and refund when the refund can be run from the console. Before you press the Cancel at period end button now, read the caution in the cancellation step above.
- Cancellation scheduled: a cancellation is scheduled. The button is Keep subscription; Change card is there when the card can be changed, and End now and refund when the refund can be run from the console.
- Payment failed — retrying or The renewal payment failed: a renewal payment failed. The button is Cancel now, and Change card is there when a card can be accepted.
What the payment history shows
The Payment history panel is always there, whatever the subscription state. Payments of this server are listed newest first: finished, refunded and in-progress ones. If there is no payment yet, it says “No payments yet.”
The columns are Date, Plan, Amount, Refund and Status. A row with a refund also shows Net next to the refunded amount. The Status column shows one of the badges Paid, Partially refunded, Refunded, Refund in progress, Handled by our team or Pending.
The amount is what was charged for that payment. Current prices are on the Plans page.
When a button does not work
If you pressed a button and nothing changed, look at the title of the notice on the screen first.
- Please try again in a moment: the admin permission could not be checked with Discord, so the change was not saved. The bot may be reconnecting, so try again in a moment. The details are in Saving asks you to try again.
- The bot isn’t in this server, so changes can’t be made: the bot is not in that server, so the change was not saved. What happens to the subscription while the bot is away is in Refund & Cancellation §6. If you only want to cancel, read that before you invite the bot again; inviting it again also resumes automatic renewal. To use the other buttons, invite the bot again and retry. The steps are in The bot is not in that server.
- Access denied: the account may not have Manage Server, you may be signed in with a different account, or the permission may have changed. If the page has been open for a long time, refresh it and press the button again. How to check is in You do not have Manage Server and Wrong account, or your login ended.
- “Couldn't open the card registration window. Please try again in a moment, or contact us if it keeps happening.” The card registration window did not open. Press the button again in a moment, and if it keeps happening, use the contacts in If it still does not work.
If you paid but do not have Manage Server, ask about cancellation or refunds at the contact address on the Refund & Cancellation page.
Where to go next
For prices and the plan comparison, see the Plans page and Compare plans and free-tier limits. The conditions for cancellation, renewal and refunds are in Terms of Service §5 and Refund & Cancellation. How to start a subscription is in How to start Premium, and how to use the console is in A tour of the web console and logging in. What happens to records after Premium ends is in Privacy Policy §4.1.
Check it worked
If you scheduled a cancellation, the Manage subscription panel badge says Cancellation scheduled and the status line shows Current period ends with a date. You also know what each button does and which pages hold the conditions.
